We handle consultants' personal information with the utmost care—securely, transparently, and in accordance with our privacy policy.
The service for managing interim assignments, recruitment, and streamlining the process (“the Service”) is operated by Teamtailor on behalf of Scandinavian Executive (“Data Controller,” “we,” “us,” etc.). It is important that the individuals who use the Service (“Users”) are confident and informed about how we handle the User’s personal data during the recruitment process. We strive to maintain the highest possible standards regarding the protection of personal data. We process, handle, use, and protect Users’ personal data in accordance with this Privacy Policy (“Privacy Policy”).
1. General
We are the data controller in accordance with applicable data protection laws. Users’ personal data is processed for the purpose of managing and facilitating the recruitment of employees for our business.
2. Collection of personal data
We are responsible for processing the personal data that Users provide to the Service, or for the personal data that we otherwise collect in connection with the Service.
2.1 When and how we collect personal data
We collect personal information about Users from Users when Users:
- Submit an application through the Service or, by other means, provide personal information about yourself either directly or through a third party, such as Facebook or LinkedIn.
- Uses the Service to connect with our staff, either by entering their personal information themselves or by using a third-party service, such as Facebook or LinkedIn.
- Provides identifiable information in the chat (which is provided via the website that uses the Service) and information relevant to the application process.
We collect data from third parties, such as Facebook, LinkedIn, and other public sources. This is called “sourcing” and is performed manually by our employees or automatically within the Service.
In some cases, current employees or individuals in our network may recommend potential job applicants. Such employees will provide personal data about potential job applicants. In such cases, the potential job applicant is considered a User for the purposes of this Privacy Policy and will be informed about the processing.
2.2 Categories of personal data collected and processed
The categories of personal data that may be collected through the Service can be used to identify individuals based on names, email addresses, photos and videos, information from Facebook and LinkedIn accounts, responses to questions asked during the recruitment process, job titles, education, and other information provided by the User or others through the Service. Only personal data relevant to the interim assignment or the recruitment process is collected and processed.
2.3 Purpose and Lawfulness of Processing
The purpose of collecting and processing personal data is to manage the recruitment and placement of interim assignments. The legal basis for the processing of personal data is our legitimate interest in simplifying and facilitating recruitment.
Personal data processed for the purpose of aggregated analysis or market research is always made unidentifiable. Such personal data cannot be used to identify a specific user. Therefore, such personal data is not considered personal data.
2.4 Consent from the data subject
The user consents to the processing of personal data by the Data Controller for the purpose of managing recruitment. The user consents to the collection of personal data through the Service when the user:
- Submit an application through the Service, and provide personal information about yourself either directly or through a third party such as Facebook or LinkedIn, and that the Data Controller may use external sourcing tools to add additional information.
- Uses the Service to connect with the Data Controller’s recruitment department, and adds personal data about themselves either manually or by using a third-party source such as Facebook or LinkedIn.
The User also agrees that the Data Controller may collect publicly available information about the User and compile it for use in recruitment purposes.
The user agrees that personal data collected in accordance with sections (a) and (b) above will be processed in accordance with the sections below titled “Storage and Transfer” and “How Long Personal Data Is Processed.”
The User has the right to withdraw their consent at any time by contacting the Data Controller using the contact information provided in Section 9. However, exercising this right may mean that the User cannot apply for a specific job or otherwise use the Service.
2.5 Storage and Transmission
The personal data collected through the Service is stored and processed within the EU / the EEA, in third countries deemed by the European Commission to have an adequate level of protection, or processed by providers who have entered into binding agreements that fully comply with the legality of transfers to third countries (such as the Privacy Shield) or by other providers where adequate safeguards are in place to ensure the rights of data subjects. 2.6 How long personal data is processed
Unless a User objects in writing to the processing of their personal data, we will store and process such data for as long as we deem necessary for the purposes stated above. Please note that a job applicant (User) may be of interest for future recruitment, and for this purpose, we may store Users’ personal data for as long as they are deemed of interest for potential recruitment. If you, as a User, do not wish for your personal data to be processed for this purpose (future recruitment), please contact us using the contact information provided in Section 9.
3. User Rights
Users have the right to request information about the personal data we process by notifying us in writing using the contact information provided in Section 9 below. Users are entitled to one (1) copy of their processed personal data free of charge. For additional copies, the data controller has the right to charge a reasonable fee based on the administrative costs associated with such a request.
Users have the right, if necessary, to have inaccurate personal data concerning them corrected by submitting a written request for such correction using the contact information provided in Section 9 below.
The user has the right to request erasure or restriction of processing, and the right to object to processing based on legitimate interests under certain circumstances.
The User has the right to withdraw consent to processing that the User has provided to the Data Controller. However, exercising this right may mean that the User cannot apply for a specific job or otherwise use the Service.
Under certain circumstances, the user has the right to data portability, which means the right to receive their personal data and transfer it to another data controller, provided that this does not adversely affect the rights and freedoms of others.
The User has the right to file a complaint with the supervisory authority regarding the processing of their personal data if the User believes that such processing violates applicable data protection laws.
4. Safety
We prioritize personal privacy and therefore actively work to ensure that Users’ personal data is handled with the utmost care. We take all reasonable measures to ensure that Users’ personal data is processed securely and in accordance with this Privacy Policy and the GDPR.
5. Transfer of personal data to third parties
We will not sell or transfer Users’ personal data to third parties. However, we may transfer personal data to:
- Our suppliers and subcontractors, in their capacity as data processors and sub-processors, acting in accordance with our instructions, for the provision of the Service;
- Authorities or legal advisors in the event of suspected criminal activity or misconduct; and
- Government agencies, legal advisors, or other parties, if required by law or by a government agency’s decision.
We only transfer Users’ personal data to third parties we trust. We carefully select partners to ensure that Users’ personal data is processed in accordance with applicable data protection laws. We collaborate with the following categories of data processors: Teamtailor, which provides the Service; server and hosting companies; email marketing companies; video processing companies; information retrieval companies; analytics service providers; and other companies involved in the provision of the Service.
6. Aggregated data (non-identifiable personal data)
We may share aggregated information with third parties. In such cases, the aggregated information has been compiled from data collected through the Service and may, for example, consist of statistics on internet traffic or the geographic location of Service usage. Aggregated information does not contain any data that can be traced back to a specific individual and therefore does not constitute personal data.
7. Cookies
When Users use the Service, information about their usage will be stored via cookies. Cookies are passive text files stored by the browser on the User’s device, such as their computer, mobile phone, or tablet, when connecting to the Service. We use cookies to facilitate the User’s use of the Service and to collect information such as statistics regarding the User’s use of the Service. This is done for the purpose of ensuring, maintaining, and improving the Service. The information collected from cookies may also constitute personal data, and in such cases, the processing is governed by our “Cookie Policy” (link to Policy).
Users may opt out of cookies at any time by changing the settings on their device. However, doing so may impair the User’s experience of the Service, for example by making certain features of the Service unavailable.
8. Changes
We reserve the right to make changes or additions to the Privacy Policy at any time. The most recent version of the Privacy Policy will always be available through the Service. A new version is considered to have been communicated to Users when the User has either received an email informing the User of the new version (using the email address the User provides when using the Service) or when the User is otherwise notified of the new Privacy Policy.
