Protection of Personal Data - Consultants

We care about our consultants' personal information. Here, we explain how we process, manage, and protect their data – with security, transparency, and consideration as our guiding principles.

We handle consultants' personal data with the utmost care – securely, transparently, and in line with our privacy policy.

The service for managing interim assignments, recruitments, and simplifying the process ("the Service") is operated by Teamtailor on behalf of Scandinavian Executive ("Data Controller," "we," "us," etc.). It's important that the people using the Service ("Users") feel confident and are informed about how we handle their personal data during the recruitment process. We aim to maintain the highest possible standard when it comes to personal data protection. We process, manage, use, and protect User's personal data in accordance with this privacy policy ("Privacy Policy").

1. General

We are the Data Controller in accordance with applicable personal data legislation. Users' personal data is processed with the purpose of managing and facilitating the recruitment of employees for our business.

2. Collection of Personal Data

We are responsible for processing the personal data that Users provide to the Service, or for personal data that we collect in other ways related to the Service.

2.1 When and How We Collect Personal Data

We collect personal data about you from you when you:

  • Apply through the Service or otherwise add your personal data yourself or by using a third party like Facebook or LinkedIn.
  • Use the Service to connect with our team, adding your personal data yourself or by using a third party like Facebook or LinkedIn.
  • Provide identifiable information in the chat (which is available on the website using the Service) and any other details relevant to the application process.

We also gather data from third parties like Facebook, LinkedIn, and other public sources. This is called "Sourcing" and is done either manually by our team or automatically within the Service.

Sometimes, our current employees or people in our network might recommend potential job seekers. When they do, they'll add personal data about these individuals. If this happens, the potential job seeker is considered a User under this privacy policy and will be told about how their data is being handled.

2.2 Types of personal data we collect and process

The kinds of personal data we might collect through the Service can help identify individuals by their name, email, photos and videos, info from Facebook and LinkedIn accounts, answers to recruitment questions, job titles, education, and any other details you or others have shared via the Service. We only collect and process personal data that's relevant to the interim assignment or recruitment process.

2.3 Why and how we lawfully process your data

We collect and process personal data to manage recruitment and fill interim roles. We do this lawfully because it's in our legitimate interest to make recruitment simpler and easier.

Any personal data we process for aggregated analysis or market research is always made anonymous. This means it can't be used to identify a specific user, so we don't consider it personal data.

2.4 Your consent

By using our Service, you agree that we, as the Data Controller, can process your personal data for recruitment purposes. You also agree that personal data is collected via the Service when you:

  • Apply through the Service, adding your personal data yourself or by using a third party like Facebook or LinkedIn, and that we, as the Data Controller, can use external sourcing tools to add more information.
  • Use the Service to connect with our recruitment team, adding your personal data yourself or by using a third-party source like Facebook or LinkedIn.

You also agree that we, as the Data Controller, can collect publicly available information about you and put it together for recruitment purposes.

You agree that personal data collected as described in a) and b) above will be processed according to the "Storage and transfer" and "How long personal data is processed" sections below.

You can withdraw your consent at any time by getting in touch with us, the Data Controller, using the contact details in section 9. Just keep in mind that doing so might mean you can't apply for certain jobs or use the Service anymore.

2.5 How we store and transfer your data

The personal data we collect through the Service is stored and processed within the EU/EEA, in third countries that the European Commission considers to have adequate protection, or by providers who have signed binding agreements that fully meet the legal requirements for transfers to third countries (like Privacy Shield). We also use other providers where strong safeguards are in place to protect your rights. 2.6 How long we keep your personal data

Unless you tell us in writing that you object to us processing your personal data, we'll store and process it for as long as we think it's necessary for the purposes mentioned above. Keep in mind that a job seeker (User) might be a good fit for future roles, so we may keep your personal data for as long as we consider you a potential candidate. If you, as a User, don't want your personal data processed for future recruitment, just get in touch using the contact details in section 9.

3. Your Rights

You have the right to ask for information about the personal data we process about you. Just let us know in writing using the contact details in section 9 below. You're entitled to one (1) free copy of your processed personal data. If you need more copies, we, as the Data Controller, might charge a reasonable fee to cover our administrative costs.

If needed, you also have the right to ask us to correct any inaccurate personal data we hold about you. Just send us a written request using the contact details in section 9 below.

Users can ask for their data to be deleted or restricted, and they can object to processing based on legitimate interest in some situations.

Users can withdraw any consent they've given to the Data Controller for processing their data. But, if they do, it might mean they can't apply for certain jobs or use the Service anymore.

In some cases, users have the right to data portability. This means they can get their personal data and move it to another Data Controller, as long as it doesn't negatively impact anyone else's rights and freedoms.

Users can file a complaint with the supervisory authority if they think their personal data is being processed in a way that goes against current data protection laws.

4. Security

We really care about your privacy, so we actively make sure your personal data is handled with the greatest care. We take all reasonable steps to ensure your data is processed securely and in line with this Privacy Policy and GDPR.

5. Transferring Personal Data to Third Parties

We promise not to sell or transfer your personal data to third parties. However, we might share it with:

  • Our suppliers and sub-suppliers, who act as data processors and sub-processors, following our instructions, to help us provide the Service.
  • Authorities or legal advisors if there's suspected crime or inappropriate behavior; and
  • Authorities, legal advisors, or other parties, if we're legally obliged to or if a government decision requires it.

We only share your personal data with third parties we really trust. We carefully pick our partners to make sure your data is handled according to current data protection laws. We team up with these kinds of data processors: Teamtailor (who provides the Service), server and hosting companies, email service providers, video processing companies, information search companies, analytics providers, and other companies involved in delivering the Service.

6. Aggregated Data (Non-Identifiable Personal Data)

We might share aggregated information with third parties. This data is put together from information gathered through the Service and could be things like internet traffic stats or where the Service is being used. Aggregated information doesn't contain anything that can identify a specific person, so it's not personal data.

7. Cookies

When you use the Service, we'll store information about your usage through cookies. Cookies are small text files your browser saves on your device (like your computer, phone, or tablet) when you connect to the Service. We use them to make the Service easier for you to use and to collect info, like statistics on how you use it. This helps us ensure, maintain, and improve the Service.
